Emails and notifications
The four customer emails, which switches actually stop a mail, and what we email you about.
Esta página aún no está traducida. Se muestra en inglés; todo lo que describe funciona igual en tu idioma.
Both live in one place, Settings → Notifications: first the notifications you get, and under them the Email templates block with the four mails your customers get.
The four customer emails
They sit behind a tab strip — order confirmation, shipment confirmation, review request, subscription invoice — with one editor open at a time.
Each tab carries a dot while its mail is switched on, and a warning sign while its template still lacks the subject or body it needs.
The switch means different things
This is the part that catches people out.
Order and shipment confirmations ALWAYS go out. An empty template — and even a disabled toggle — falls back to the built-in text in your shop's language. The toggle is labelled Template active and only controls whether your wording is used instead of the built-in one. A notice under a disabled toggle says so.
Review request and Subscription invoice have switches that really stop the mail.
| Tab | Switch label | Default | Off means |
|---|---|---|---|
| Order confirmation | Template active | off | built-in text is sent |
| Shipment confirmation | Template active | off | built-in text is sent |
| Review request | on/off | off | no mail at all |
| Subscription invoice | Enabled | on | invoice still issued, just not mailed |
The dot on each tab says exactly this: lit on both confirmations whatever their form holds, because those mails always reach the customer; and following the switch on the review request and the invoice mail, which a switch really stops.
A warning sign appears only for a review request that is switched on while
its body lost [review_links] — which would send without a single link to rate
anything.
The subscription invoice mail
Carries your invoice as a PDF after every paid subscription period. Subject and body fall back one by one: whichever is left empty comes from the invoice document itself, in your shop's language.
Its placeholders — among them [document_title], [invoice_number],
[invoice_total], [period_start], [period_end] and [payment_note] — all
come out of that document.
Keep the text neutral and let the placeholders carry the facts. The period is already paid when the mail goes out, so the text must never ask for payment or name a due date.
The review request mail
Must contain [review_links], or the built-in template is sent instead. It
always ends with an unsubscribe link: a customer who uses it gets no further
review requests from your shop, and the manual send button on the order page
then reports that instead of sending.
Its Send timing field sets the delay after fulfilment — 1 to 90 days, default 7.
Pickup details reach the mail on their own
Whatever you wrote in the pickup details field appears at the end of a collection order's confirmation email, above the seller footer — whether your shop uses its own text or the built-in one, and with no placeholder needed in the template.
Where your emails are sent from
The Notifications section states at the top which address your shop's emails come from:
- the shared platform address, or
shop@mail.<your-domain>once your shop's own email sending is verified
Plus where customer replies land, with a link to the domain settings. Customer replies always go to your shop's contact email either way.
Notifications to you
Each with an on/off toggle:
| Notification | Sent when |
|---|---|
| New order | An order comes in |
| New contact request | Someone uses a contact form |
| New newsletter subscriber | Someone joins your newsletter list |
| New review | A customer rates a product — with stars, title and text. Editing that review later does not mail again |
| Failed subscription payment | A subscription charge fails — with the amount, Stripe's next retry date and a link to the subscription |
| Low stock | A sale drops available stock to the threshold or below |
The low-stock threshold
Set right there, default 5, with per-variant overrides on the product form's Inventory tab.
One email per shortage, re-armed when you restock or change the threshold. One-of-a-kind items never trigger it.
