Legal texts and invoice numbering

The five texts a shop cannot go online without, the generated provider block, and where your invoice numbers continue.

Settings → Legal & Compliance has two tabs. Legal texts holds the five texts and the provider block; Taxes & invoices holds your company's numbers, the tax profile and the invoice numbering. The section always opens on the texts, and their tab carries a warning sign while one of them is missing or still carries a placeholder.

The five texts

All must be filled in before the shop goes publicly online:

  1. Terms of service
  2. Privacy policy
  3. Imprint
  4. Cookie policy
  5. Right of withdrawal — the checkout links this one next to the order button

A text that still contains a placeholder such as [PLACEHOLDER] counts as missing. The Legal tab names the placeholders underneath the text.

The way out is to fill in Settings → Address completely and let the AI improve the text, or to replace them by hand.

The AI drafts every text from your company data — name, address, email, phone, registration and VAT numbers. It also adapts to what your shop actually does: it mentions the cookieless analytics, the saved carts and wishlists, and whichever marketing services you have enabled.

The generated provider block

The public imprint page always shows a generated provider block above your own text — verified identity, legal form, registration and VAT numbers, contact — so the load-bearing imprint content comes from real data rather than from what someone typed.

It also carries a small localised "report illegal content" link to the platform's report form, which the law requires and the design cannot remove.

VAT and tax IDs

The same section holds your tax profile: whether the shop charges VAT, and the numbers printed on your invoices.

  • The Tax country is not chosen. It is the country of your Stripe payout account — before Stripe is connected, the country of your company address. Without one, the VAT switch stays off.
  • I am registered for VAT — off, the shop shows prices without VAT and issues invoices without it, and nothing else is needed. On, every price includes VAT, the checkout shows the VAT contained in the total, and the invoice lists it per rate.
  • The rate never comes from you. Every product carries a tax category — what it is: general goods, food, printed books, medicines and so on — and your tax country decides the percentage. Shipping is charged at the standard rate.
  • The VAT number (asked for once the switch is on) is printed on every invoice; the Tax Number takes its place on a shop that charges no VAT. With the switch on the settings do not save without the VAT number; only a shop whose tax country is Germany may give the Tax Number instead, which its invoices then carry. Both sit in the Company block with the legal form and the register number, labelled the way your tax country names them: UID and VAT number in Switzerland, Handelsregisternummer and USt-IdNr. in Germany, Firmenbuchnummer and UID in Austria.
  • Take VAT off the price on an export is on by default: a delivery to the other side of the Switzerland–EU border is charged at the prices without your VAT, each product at its category's rate and the shipping at the standard rate, and the checkout says by how much. Switch it off to charge your shop prices unchanged. Subscriptions are never reduced.
  • Rate with Stripe Tax sits under Advanced: selling abroad, folded away until it concerns you, and appears once Stripe is connected. Off, 10mShop rates every sale with its own tables, which cover Switzerland, Liechtenstein, Germany and Austria. On, Stripe Tax on your own Stripe account rates every sale: it knows the rates of every country you are registered in, so a delivery to a country where you hold an OSS, IOSS or foreign registration is taxed at that country's rates, the checkout says so, and the invoice notes it. The switch only turns on once your Stripe Tax setup is complete — head office, preset tax code and at least one registration, all maintained in your Stripe Dashboard — and the section lists the registrations 10mShop knows about; Refresh from Stripe reads them again after you add one. Stripe bills its fee for Stripe Tax to your account.

A delivery from Switzerland to the EU, or from the EU to Switzerland, is an export: the whole order is VAT-free, the invoice says so, and the checkout tells the customer that customs duties and import taxes may be charged on delivery. An EU shop's delivery to a customer in another EU country is taxed at the shop's own rates.

A registered shop seated in the EU sees its sales to other EU countries this year in the section. Up to EUR 10'000 per calendar year across the EU they are taxed at your own rates; above that, the destination country's VAT applies: register for the OSS in your Stripe Dashboard and switch on Rate with Stripe Tax, and 10mShop charges it.

A German shop that charges no VAT can switch on Print the small-business note (§ 19 UStG) on invoices; the switch appears while VAT is off and the tax country is Germany.

When a shop charges no VAT, the invoice and credit note lists simply show nothing beneath the VAT amount instead of a rate.

Invoice numbering

Invoices — for orders and for subscription payments, which share one sequence — are numbered per calendar year as YYYY-000123.

You can set where this year's numbering continues.

Only forward, never back. This is what lets you carry on a series from a previous system after moving to 10mShop, without ever producing a duplicate number.

The seller line

The bottom row of every footer carries a seller-identity line the design cannot remove: "Seller: name, address" plus a link to your legal notice.

It names the Stripe-verified identity when your shop is onboarded, otherwise the company name and address from Settings. A shop with neither shows no line — it cannot sell anyway.

The same seller name and address appear:

  • directly above the checkout's order button
  • as a footer on every customer email — order and shipping confirmations, review requests, credit notes
